Versions

A price list is a version with a start date and, optionally, an end date. A flight is billed with the version in force on its date: changing a price means creating a new version with its effective date, not editing the old one.

A version goes from Draft to Active, then Archived.

Step by step, with units, tiers and examples: Setting up machine pricing.

Units and tiers

Item Unit
Airframe Flight hour
Engine Hundredth of an hour
Tow Hundredth of an hour of the tow plane
Winch launch Flat fee per launch

Tiers are computed flight by flight: degressive for the tow (each band at its own price), by band for the winch launch (the band reached sets the price of the launch). Worked examples: Billing flights.

Flight types

Each launch mode carries a list of types (winch launch, tow, retrieve, ferry, plane flight, test, warm-up…). The Planche offers this list when declaring; the first of each mode is the default.

Packs

Other rates (catalogue)

This tab holds the catalogue of prices that do not depend on a machine. A catalogue version (for instance "Cotisations 2027") is a draft or active, with a start date and an optional end date; it needs no fiscal year, and several versions can coexist. Each line has a fixed amount, a category (membership fee, pack, introductory flight, landing fee, meal, miscellaneous) and an optional short description.

The Shown in the rates report box decides what members see. It can also be ticked on an already active version. Nothing is shown by default.

The catalogue feeds other screens:

  • the membership fees of a season: Membres › Configuration des inscriptions › Tarif › Ajouter depuis les tarifs takes the amount, label and revenue account from the catalogue line (profile, age and option conditions stay set on the registration);
  • the public price of a pack and of a voucher type: the Displayed rate field points at a catalogue line. That price appears in the report and prefills the sale of a pack; the amount booked stays the one entered at sale. If the line carries an under-25 discount, the price proposed at sale is reduced for a member under 25 on 1 January of the sale year (no birth date: no discount); it stays editable. Billing several members at once applies the same rule per item: if the item carries a discount, each member under 25 on 1 January of the year of the entry date is billed reduced, and the description says so. In the entry draft (Build from a pricing item), an Apply the under-25 rate box appears when the line carries a discount: tick it yourself, no age check.

A line used by a registration, a pack or a voucher type cannot be deleted, and its version cannot go back to draft: detach it first. Amounts are changed with the Manage prices right; choosing the lines of a registration belongs to the registration-settings right.

Rates report

The Rapport tab shows what members see in their portal, Tarifs tab: the rates in force today, computed from the active versions (so they cannot differ from what is billed). It lists, per machine family, the lines ticked as shown with their tiers and the club's aircraft; packs (one block per pack, with its price and the equivalent price per hour) with, for each line concerned, the regular price, the pack price and the saving; the season's membership fees; voucher types; and the other lines by category. No accounting account appears. A pack only appears when its displayed rate is set (Tarifs › Forfaits); its lines are those of the version in force, followed by their family name. The Download as PDF button (ERP and portal) produces the same report as a PDF on the club's template: the "Tarifs en vigueur" print type is set in Administration › Modèles d'impression (PDF template exported from Word with its markers, columns to print, preview), like the flight log. Without a template, a default layout is used. Sections and families are bold lines of a single table; tier thresholds carry their unit (h, min, hundredths).

Rates check

The Check tab lists inconsistencies to fix before they block a billing or a sale: a priced machine family with no rate in force, two active versions at the same time for the same family (or the same catalogue), a version that ends within 60 days with no following version, a line of an active version without revenue account, a pack without displayed rate (left out of the report). Errors come first, then points to prepare. A version ending soon with no successor also raises an alert (banner) for people allowed to view the rates; it goes away once a following version exists.

The Prepare next year button (rates management right) copies as a draft every active version ending this year with no successor: starting the day after its end, lasting one year, the year in the name incremented ("Tarifs 2026" → "Tarifs 2027"), with lines, tiers and pack applicabilities carried over. Prices then need checking, and each version activating.

Membership fees

The amounts are lines of the catalogue (Autres tarifs tab). Which lines apply to a season, and for which profiles, is set in Membres › Configuration des inscriptions, Tarif tab: see Registrations and renewals.
