Billing flights
Every flight validated on the Planche reaches the ERP, which bills it at full price to the payer's account (or payers'). Pack discounts are calculated afterwards, separately. This guide takes you from the flight "to bill" to the line seen on the pilot's account.
Example followed in this guide: on Saturday 7 November 2026, six flights were validated on the Planche. One is Paul Bernard's: school two-seater for 48 minutes, towed for 12 hundredths of an hour. Prices are an example (your club's grid will differ): €25/h for the machine, €3.32 per hundredth of tow plane.
Rights: Manage flight billing (office and treasurer) and Prepare the accounts to apply; Post an entry (treasurer) to lock. Correcting, creating or deleting a flight needs the Correct a flight record right (office and board; not the treasurer, who asks the office).
Step 1: find the flights to bill
Where: Facturation & Vols › Vols.
- In Statut, choose En attente. Other choices: Appliqué, Posté, Facturé à 0 €, Supprimés, Tous.
- Fill in Date début and Date fin (7 and 7 November) then Filtrer.
You should see: the list of your six flights, each with date, machine, pilot, duration and launch. The "6 vol(s)" counter confirms.
A flight is missing from the list?
It has not been validated on the Planche yet, or not transferred. See step 6.
Step 2: preview
Click Prévisualiser (top right of the list). The ERP calculates the billing of all ticked flights, or all those on the page if you ticked none.
You should see: a box "Aperçu batch · 6 vols" showing how many flights are billable, how many are in error, and the total. For Paul Bernard, the line details:
| Item | Calculation | Amount |
|---|---|---|
| School two-seater | 0.8 h × €25/h | €20.00 |
| Tow | 12 hundredths × €3.32 | €39.84 |
| Total at full price | €59.84 |
A flight's detail can also be seen line by line (ⓘ icon Détails bruts).
Step 3: fix the errors
In our example one flight is in error: "machine without tariff". The most frequent blocking errors:
| Message | Cause | Fix |
|---|---|---|
| Machine without tariff | The machine has no tariff for the flight date | See the treasurer: Tarifs › Machines |
| Payer not found | The pilot or student is not a billable member | Fix the flight's Facturé à |
| Engine time missing | Engine indexes not entered | Fix the flight (start and end index) |
| Launch machine missing | Towed or winch flight without a launch machine | Fix the flight |
To fix a flight (pencil ✎ Modifier le vol): change the wrong data, write a reason (mandatory, kept in the history), Enregistrer. Then run Prévisualiser again.
A flight in excess (entered twice, cancelled): trash icon Marquer supprimé, with a reason. It leaves the billing. Restaurer le vol puts it back if you made a mistake.
A forgotten flight (never entered on the Planche): Nouveau vol, with a reason.
Who pays
By default an instruction flight is paid by the student, a solo flight by the pilot, a shared flight 50/50. To change, fill in Facturé à (and the comment) in the flight correction. Full detail in Billing flights.
Step 4: apply
When the total looks right: Appliquer tout.
« Appliquer tout » applies all the flights on the page
The button processes all displayed flights, not only the ticked ones. To bill only a few, filter the list first so it contains only them.
You should see: a message "5 écritures créées" (if five flights are billable). The flights move to Appliqué. A flight with nothing to bill (solo on a private glider, self-launch) gets Facturé à 0 €.
Each entry is in the FL journal, as a draft, on the payer's 411 account. For Paul Bernard: debit of his account of €59.84, credit of the revenue accounts (glider, tow).
Step 5: apply pack discounts
If some pilots have a pack (the 25 h pack, for example), calculate their discounts:
- Facturation & Vols › Packs.
- Appliquer les remises. One REM entry per pilot is created or updated: it credits their account with the discount.
The Contrôle button finds anomalies without changing anything. Only use Recalcul complet if the treasurer asks: it replays the whole year.
Details and worked figures: Packs and discounts.
Step 6: if a flight is missing or must change afterwards
| Situation | What to do |
|---|---|
| Flight not validated on the Planche | The duty manager validates it on the Planche |
| Validated but not yet in the ERP | Wait for the transfer, or run Sync Planche (Planche operations right) |
| In the ERP, not yet billed | Fix it in the ERP (step 3) |
| Already billed (FL draft) | Annuler la facturation (Draft) on the flight line, fix the flight, then Appliquer again |
| Already billed and posted | Reverse the FL entry (Entering a journal entry), fix, rebill |
A flight modified on the Planche after its transfer is flagged "modifié après transfert" and its invoice is cancelled automatically.
Step 7: the treasurer's part
The FL and REM entries are drafts. Usually each quarter the treasurer:
- reviews the drafts (Finance › Comptabilité › Saisie › Journal, journal FL then REM, filter Brouillons);
- posts them (tick, Poster la sélection).
Until then, members see these lines as "pending" on their account: they are due, but not yet locked.
If it does not work
| Problem | What to do |
|---|---|
| No Appliquer tout button | You need the Manage flight billing right, the Prepare the accounts right and an active fiscal year chosen at the top of the screen. |
| "Aperçu : bloqué par des erreurs de paramétrage" | Fix the listed errors (step 3). Flights in error are not billed. |
| A flight's total looks wrong | Open Détails bruts and compare with the Pricing grid in force on the flight date. |
| A pilot says their pack was not applied | The discount is calculated separately (step 5). If still missing after a few days, check the pack's validity date. |
