Billing flights
A flight validated on the Planche goes to the ERP, which bills it at full price to the payer's account. Pack discounts are computed afterwards, separately (see Packs and discounts).
From validated flight to account line
- The duty manager validates the flight on the Planche: it is locked and goes to the ERP.
- In the ERP, Facturation & Vols › Vols, the flight shows as "to bill". Open it and click Preview: the ERP shows the price lines and flags any blocking error (machine without a price, unknown payer, missing engine time, no launch machine on a winch or tow flight…).
- Apply the billing, one flight at a time or in a batch (Appliquer tout processes all displayed flights: filter the list first; step by step: Billing flights): an FL entry is created as a draft on the payer's account (debit of the member's 411 account, credit of revenue accounts). A flight with nothing to bill (solo flight on a private glider, self-launch) gets no entry at all: it is marked Billed at €0 and leaves the « Pending » list.
- Pack discounts are applied (Facturation & Vols › Packs › Apply discounts): one REM entry per pilot and period, credited to their account.
- The treasurer posts the entries, usually every quarter. Until then, the member sees them as "pending" in their account.
Rights
Seeing flights needs the View flights right; applying billing needs Manage flight billing (Treasurer and Administrative roles by default). The treasurer then posts the entries. Selling a pack and applying discounts also need View prices.
What is counted
The FL line breaks the price down machine by machine: the glider (or TMG, or plane), then the launch. The price used is the machine's, valid on the flight date (Tarifs: one pricing version per machine family, with validity dates).
| Item | Unit | Measured by |
|---|---|---|
| Airframe (glider, TMG) | Flight hour | Take-off to landing |
| Engine (TMG, plane) | Hundredth of an hour (36 s) | Engine meter difference |
| Aerotow | Hundredth of the tow plane's hour | Tow plane meter difference |
| Winch launch | Flat fee per launch | Amount set by flight-duration band |
The launch type chosen on the Planche (tow, retrieve, winch launch, plane flight, warm-up…) picks the launch price line.
Possible price shapes
Each club sets its own amounts: this help describes the possible shapes, not any club's prices. The amounts below are examples from one club, to be replaced by yours.
| Shape | When to use it | Example amount |
|---|---|---|
| Price per airframe hour | Gliders: one price per machine class (beginner, training, club, performance…) | From €19/h for a beginner single-seater to €42/h for a performance single-seater |
| Airframe hour + engine hundredth | TMG | €25/h airframe + €0.83 per engine hundredth |
| Engine hundredth only | Plane | €2.52 per hundredth |
| Tow plane hundredth, degressive | Aerotow | €3.32 per hundredth for the first 12, then €2.82 |
| Flat fee per launch, by flight duration band | Winch launch | €11; €13 if the flight lasts 11 min or more; €19 from 46 min |
To decide, machine by machine: the unit, any band, the effective date. A price change is a new version with its date: an older flight keeps its old price. The club's current prices can be consulted in the ERP (Pricing).
Price bands
A price line can have bands, in two ways:
- Degressive (aerotow): each band is paid at its own price. A 15-hundredth tow costs 12 × €3.32 + 3 × €2.82 = €48.30; the line shows a single amount at the average price.
- By band (winch launch): the band reached sets the price of the whole launch.
Bands are computed flight by flight: they don't depend on what the pilot flew earlier in the year.
Who pays
| Flight type | Default payer | Other options |
|---|---|---|
| Solo, first solo, supervised | The pilot, 100 % | Solo: another member or a club account (Billed member) |
| Passenger | The pilot, 100 % | The passenger if a member, or a club account |
| Instruction | The student, 100 % | Shared billing: 50 % student, 50 % instructor · or one named member |
| Shared | Each of the two pilots, 50 % | One of them pays the whole flight |
| Trial flight | The club (trial-flight account, via the voucher) | A named member: billed as a normal flight |
| Club, training, tests, warm-up | The matching club account | — |
The Billed member is set on the Planche (Billing section of the flight form) or in the ERP when correcting the flight; left empty, the default rule applies. On a shared flight each pilot pays half of every item, launch included, and can use their own pack on their half.
Training tow: to train a tow pilot, part of the tow (usually 30 %) is billed to the tow pilot, the rest to the usual payers. The airframe isn't affected.
Correcting a flight
- Not validated yet: correct it on the Planche.
- Validated, not yet transferred: the duty manager corrects it on the Planche, with a reason.
- Never entered on the Planche (a forgotten course flight, an unrecorded warm-up): Nouveau vol in Facturation & Vols › Vols, with a reason.
- Transferred to the ERP, not yet billed: the office corrects it in Facturation & Vols › Vols (payer, type, times, machines), with a comment.
- Already billed: the charge is cancelled (deleted if still a draft, reversed if posted), then the flight is corrected and billed again. A flight changed on the Planche after transfer is flagged "modified after transfer" and its charge is cancelled automatically.
