Payments received: card, cheques, ANCV

Four payment methods, two screens. What changes from one to another is how the provider takes its commission. Receipts declared at the duty desk follow another path: see Duty desk and expenses. A member paying in instalments: see Paying in instalments.

Where: Finance › Comptabilité › Saisie (Prepare the accounts right).

You receive… Screen What it produces
Card payment Encaissements CB, method "Carte bancaire" 2 entries: gross receipt + fees
Electronic ANCV Encaissements CB, method "ANCV dématérialisé" 1 entry: bank at net
Bank cheque Encaissement chèque, then Remise de chèque 1 entry per cheque, then 1 for the deposit
Paper holiday vouchers (ANCV) Same, type "Chèques vacances (ANCV)" Same, the deposit carrying the commission

Card payments

  1. Encaissements CB tab, payment method "Carte bancaire".
  2. Bank deposit date: the date of the statement line, not of the payments.
  3. One line per payment: account (the member's 411, or a revenue account), third party (the member, when the account expects one), label, amount.
  4. Commission: pre-filled from the configured rate, to correct if the provider charged something else.
  5. Generate the entry: one draft entry, fees included. With the posting right: Post the generated entry.

The bank statement should show two lines: the gross deposit and the fees. The entry carries both, on two 512 lines: each is reconciled against its own statement line.

Electronic ANCV

Same screen, method "ANCV dématérialisé". ANCV keeps its commission before paying: a single entry is produced, and the statement shows one line, at net.

Don't miss this

Enter the exact commission from the ANCV statement, not the computed amount. A few cents' difference prevents automatic reconciliation. The Net amount transferred shown must equal the transfer on the bank statement.

Bank cheques, in two steps

a) On receipt: Saisie › Encaissement chèque

  1. Cheque type: "Chèques bancaires".
  2. One line per cheque: account, third party, label, amount.
  3. Save cheques: one draft entry per cheque. The cheques are "awaiting deposit".

b) At the bank deposit: Saisie › Remise de chèque

  1. Deposit type: "Chèques bancaires"; deposit date: the slip's date.
  2. Tick the cheques on the slip (Select all if that's all that remains).
  3. The Selected total must match the slip to the cent.
  4. Generate the deposit.

Paper holiday vouchers (ANCV)

Same two steps, with the "Chèques vacances (ANCV)" type at both steps. They have their own suspense account, so you always know how many vouchers are still with ANCV. At deposit, two fields are added: ANCV commission withheld (correct it from the statement) and Net amount transferred (equal to the bank transfer).

Common mistakes

Symptom Likely cause Fix
A cheque is missing from the deposit Entered with the wrong type: each type only sees its own suspense account Correct the receipt entry if it is still a draft
The bank line won't reconcile Computed commission left instead of the real amount Reverse and re-enter, or tell the treasurer
Deposit total ≠ slip A cheque forgotten or ticked by mistake Redo the selection before generating
