Instructor / duty manager
The instructor, or the pilot appointed duty manager, runs the day on the Planche: opens it, organises attendance and machines, releases pilots, validates flights and closes the sheet. They also declare their own flights, like any pilot.
On the Planche
Step by step with screenshots: illustrated instructor guide.
Everything is done from the Planche member portal, Manage the sheet tab, or from the airfield tablet. The full walkthrough: Duty manager.
| When | Where | Action |
|---|---|---|
| Arrival | Manage the sheet | Open today's sheet, pick the duty manager among registered instructors |
| Morning | Attendance & assignments | Present pilots (Click & Glide or by hand), roles, machines, winch and tow crews |
| During the day | Sheet, Engine time | Follow flights, declare a forgotten flight, complete an OGN-detected flight |
| When needed | Ratings | Grant a rating on the spot; release, revalidate or withdraw a machine authorization |
| End of day | All flights | Validate one by one, or Validate all (incomplete flights are skipped) |
| Leaving | Manage the sheet | Close the sheet |
A validated flight is locked and goes to the ERP. Correcting it afterwards needs a reason, as long as it isn't transferred; after that, it is corrected in the ERP.
Releasing a pilot on a machine
Instruction, first solo and supervised flights are never blocked by machine authorizations: that's how a pilot gets released. After the flight, in the Ratings tab, Grant the authorization (by model or for one machine); after a check flight, Revalidate. See Machine authorizations.
Billing instruction
By default the student pays the whole flight. In the form's Billing section: Shared billing (50 % student, 50 % instructor), or Billed member so a single member pays everything. See Billing flights.
In the ERP
The Instructor role gives by default access to flights (correct a flight before billing), trial flights (vouchers, schedule) and member records. It gives no access to accounting.
